REGISTRATION / TUITION / REFUND POLICY
Registration is only available online via credit card. Registration holds a student’s spot in a class or camp, making it unavailable for other students to register for that spot. Registrations are taken on a first come, first served basis.
Registration fee is billed as a part of the tuition and is $35 per class. If a cancellation is made at least 7 days before the first day of class, the cost of the class less the registration fee of $35 will be refunded. If a cancellation is made less than one week before the class begins, no refund or credit will be issued. No reduction in fees is given for late arrival, early departure, vacations, special events, short-term illness or expulsion for disciplinary reasons. Registration AFTER the first class do not receive prorated tuition.
If you are paying monthly we must receive written notification via email that you are dropping a class. Future payments will be cancelled after receiving the written notification.
If classes are full, we will add you to a waiting list for any openings. Ages/Grades listed in class description are as of the first day of class. Children must be fully potty-trained.
Don’t see a class you want on the right day and time? If you have a minimum of six children we can create your own class. Contact us to discuss curriculum and schedule. If you can dream it, we can do it! Please Note: Contingent on staff and classroom availability.
We reserve the right to cancel class. In the situation where we cancel a class, all paid tuition will be returned in full, including the non-refundable registration fee. If a class cancellation is necessary, we will notify you approximately one week prior to the beginning of class. We hope your class is a great fit but if, after the first day of class, you choose not to continue for any reason, we will be happy to switch you into an available class, but we will not issue a refund. After the second week of class we are not able to accommodate class transfers.
The Zephyr Theatre believes all students should have access to the arts and art education. The Zephyr Theatre is happy to provide discounts to those who demonstrate financial need. Financial assistance is available to students who wish to participate in The Zephyr Theatre Studio A, and Young Actors Theatre programs. The Zephyr Theatre is able to provide need-based scholarships thanks to the generous contributions of our donors. Please submit a Scholarship Application for the classes for which you are seeking tuition assistance.
Please note: Scholarships are available for no more than half of any class tuition amount.
To encourage a meaningful experience for all education participants, we require all students to make a financial contribution at the level they are able. Scholarship students are expected to uphold The Zephyr Theatre student expectations. Granting of future scholarships will weigh heavily on students being on time and prepared for class.
Requests for Funding: Please send an email to firstname.lastname@example.org with the following information:
- How the educational program will benefit your theatre/educational pursuits.
- The financial contribution you are able to make towards the cost of the programming. PLEASE NOTE: we ask that parents make a minimum contribution of $50.00 for classes priced under $300.00 and a minimum contribution of $100.00 for classes priced over $300.00.
- The amount of the discount you need to participate in the education program.
- Your name, phone number and email address.
BEING PREPARED FOR CLASS
Students should bring a non-perishable snack and a water bottle. No refrigerators or microwave ovens are available. We do have students who have nut allergies, please be respectful of this and leave nuts and peanut butter out of your child’s snack if possible.
The most appropriate dress for this class is something in which your child can move in comfortably, like athletic or yoga pants and a simple t-shirt. Students must wear comfortable shoes, which they can move in. Jazz shoes are strongly preferred for classes. Please no skirts, crocs, or flip flops.
For some classes and performance series students will need a binder for class material and a pencil. Students with scripts and music must bring binder and pencil every day.
Please try to arrive five minutes before class. A late arrival can be distracting to the rehearsal process. While waiting please be courteous and quiet as there may be other classes or events happening nearby. Please do not drop off your child more than ten minutes early, as instructors are likely still preparing for class.
Because of the collaborative nature of theatre, each student needs to be in attendance every class. In order to best serve your child, please inform us of any and all medical challenges that they may face, including ADD and ADHD. We strive to create the best atmosphere for all students and need sufficient time to develop strategies for serving each child’s needs. We reserve the right to remove children from the classroom who are continually disruptive or unable to participate fully in the class activities.
If a student is ill or misses class, the student is responsible for learning what was missed. We recommend finding a classmate to retrieve the missed information with similar blocking/choreography. While we do understand the importance of school and family functions, we also expect students to be in attendance as frequent absences restrict the potential of the group as a whole. Every member is important. If your child is going to be late or miss a class, please contact us, so that we know not to look for your student and can plan the class that day accordingly.
We will provide the majority of the costumes for each show, but we require students to provide their own dance shoes (character, jazz, etc) and base costume apparel including shirt, shoes, tights, leggings, etc.
CODE OF CONDUCT
In order to provide students with a safe and supportive environment, we do not tolerate any form of physical or verbal abuse, harassment, vandalism, or the use of any illegal substances. Any behaviors found in violation will be addressed and the student may be asked to leave classes/camps. No refunds will be issued in the event that the Code of Conduct is violated.
ONLINE CHILD SAFETY POLICY
It is our policy to diligently empower and protect youth by providing safe spaces for theatre education and experiences. As such, the following policies will be enforced:
- All online classes and coaching sessions will be password protected.
- Students will need to wait in the “waiting room” until admitted by the instructor.
- The virtual classroom will not be open until at least 2 students are in the waiting room.
- A parent/guardian must be present in the household while students are participating in class.
When utilizing breakout groups, all instructors will adhere to the “rule of 3” so that no adult should ever be alone with a student in a virtual breakout space.
FAMILIES & GUESTS IN THE CLASSROOM
Observers are not permitted to observe during a class period or technical rehearsals. Parents are responsible for children in the lobby area and we ask that you respect the theatre property.
Attendance at performances and dress rehearsals are mandatory. Students will need to arrive 60 minutes before show times on performance dates.
PHOTOS AND VIDEOS
Personal video taping of our performances is not permitted due to contractual agreements with rights licensing companies and The Zephyr Theatre. No photography is permitted during the performance.
Any photos or videos shared with families during or after a program that include multiple students are for strictly for personal use only and cannot be used for broadcast and/or distribution via the internet including but not limited to social media sites and/or public websites. Any photos or videos that only include the student(s) in your household may be shared as you choose.
MEDICAL EMERGENCY POLICY
While administration staff are trained in First Aid and CPR, we do not have a medical professional on staff. Students are welcome to carry their medicine on them, but our office is not able to administer medicine of any kind (including prescription and over-the-counter drugs or topical ointments). In life-threatening situations, we are trained to administer an epi-pen. In the case of a medical emergency, if we are unable to contact a parent/guardian or if time does not permit, 911 services will be used. All expenses incurred are the responsibility of the parent/guardian.
In the event of inclement weather, we will follow the recommendation of Stillwater Public Schools in determining if a class or camp should be canceled. If Stillwater Public Schools remains open for the day, class or camp will be held as scheduled.
In the event that Stillwater Public Schools is on break while classes/camps are being held, we will follow the recommendation of the University of Minnesota. For day camps occurring from 10:00 AM-4:00 PM or 10:00 AM-2:00 PM, camp cancellation information will be posted no later than 8:30 AM on our website. For evening classes, class cancellation information will be posted no later than 3:00 PM on our website.
In the event that inclement weather causes a cancellation on a performance date of a camp/class, every effort will be made to reschedule the performance opportunity for a day when the theatre is available for a performance.
We make intentional choices in our classroom practices to make sure we are a welcoming space for peoples of all abilities, ethnicities, economic status, sexual orientation, and gender identity. Our program includes need-based scholarships, introductions with pronouns, and a faculty happy to work with families to meet students’ individual physical, learning, and social needs.
